Processing of communication content, technical metadata, usage data

Communication content, technical metadata and usage data are processed to operate the chatbot, respond to your requests, and to analyse and improve the functionality and reliability of the service (including troubleshooting). For these purposes, we use the services of Botpress, Inc., a provider based in the United States of America. Botpress acts as a processor on our behalf in accordance with Art. 28 GDPR. Botpress is certified in line with the EU-US Data Privacy Framework.

Botpress may engage affiliated companies or sub processors located in third countries, including the United States, to support the provision of its services. While contractual and organizational safeguards are in place, access by public authorities in third countries cannot be entirely excluded.

Botpress relies on appropriate safeguards in accordance with Art. 44 ff. GDPR for data transfers, in particular the EU-US Data Privacy Framework, provided that the receiving US company is certified accordingly. Alternatively, standard contractual clauses (SCC) or other appropriate mechanisms may be used. If you choose to be contacted by a Kuraray specialist, the contact details you provide will be transferred to and processed within our customer service and relationship management systems (e.g. HubSpot). Our specialists will then directly contact you. On our Website users are given the opportunity to subscribe to our digital newsletters. We inform our customers and business partners regularly by means of a newsletter about enterprise offers. If you subscribe to our company newsletters, you explicitly give permission to collect your e-mail address. Each newsletter indicates how to unsubscribe.

Our newsletter may only be received by you if you have a valid e-mail address and if you register yourself for the newsletter shipping. We use the double opt-in procedure: a confirmation e-mail will be sent to the e-mail address you registered, for legal reasons. Newsletter-Tracking

Our newsletter contains so-called tracking pixel. A tracking pixel is a miniature graphic embedded in such e-mails, which are sent in HTML format to enable log file recording and analysis. This allows a statistical analysis of the success or failure of online marketing campaigns. Based on the embedded tracking pixel, we may see if and when an e-mail was opened by you, and which links in the e-mail were called up by you.

Such Personal Data collected in the tracking pixel contained in the newsletters are stored and analysed by us in order to optimize the shipping of the newsletter, as well as to adapt the content of future newsletters even better to your interests. You are at any time entitled to revoke the respective separate declaration of consent issued by means of the double-opt-in procedure. After a revocation, these Personal Data will be deleted by us. We automatically regard a withdrawal from the receipt of the newsletter as a revocation.

You have the right to view your Personal Data processed by or on behalf of us, by request an overview. You have the right to have your Personal Data rectified or restricted (as appropriate). You also have the right to delete your Personal Data. However, deletion of data can only be done if the data is no longer relevant. We store your Personal Data on our local servers in the EU and on the servers of the cloud-based data management provider in the USA. We have established the necessary requirements in order that this processing is in line with EU data protection law.

We will retain your Personal Data for as long as legally required or for as long as necessary to provide you with any requested Service or for the fulfilment or initiation of a contract or as long as we know you are active in the dental industry. Right after expiration of that retention period, the corresponding data is routinely blocked, deleted, or de-identified, in accordance with our group-based retention & erasure policy and schedule.

HubSpot

We make use of Artificial Intelligence (AI) features provided by our service partner HubSpot in order to improve communication, marketing automation and data analysis. When these AI features are used, personal data that you have provided to us may be processed.

The processing is carried out with appropriate safeguards. HubSpot applies a zero-data-retention policy, meaning that data entered into AI features is not stored by the AI provider after the request is completed. Where applicable, data of users located in the European Union is processed within the EU. In addition, certain identifiers may be masked before processing to protect sensitive information.

The legal basis for this processing is our legitimate interest in improving our services and customer support (Art. 6(1)(f) GDPR). You may object to the use of AI-based processing at any time. All other rights under applicable data protection law, including access, rectification, erasure and restriction of processing, remain unaffected.

Chatbot

This chatbot uses an AI-powered search function to support your inquiries by drawing on information available in internal materials of Kuraray Europe GmbH and its affiliates (collectively, “Kuraray”), including brochures, product instructions of use and other internal documents (collectively, “Kuraray Materials”).

While the system is designed to provide accurate and helpful responses, the information it provides may not always be complete, current, or entirely accurate. Responses are generated based solely on the Kuraray Materials available to the system at the time of the query and may not reflect recent updates, changes, or developments. The chatbot may also be unable to provide information where no relevant content exists within the Kuraray Materials. In such cases, the system is designed to refer users to an appropriate Kuraray contact person, but this cannot be guaranteed in every instance.

This chatbot is intended as an initial informational aid to facilitate access to the Kuraray Materials. It does not replace professional advice, technical expertise, or consultation with a qualified Kuraray specialist. Users remain fully responsible for assessing whether the information provided is appropriate for their specific question or use case and for ensuring that any product is used strictly in accordance with its applicable instructions for use and other official documentation, irrespective of any chatbot response.
